1. Your Contract with TravelHubLtd
1.1. These terms and conditions apply to all bookings made with TravelHubLtd, whether through our website, by phone, or in person. A binding contract is formed between you and TravelHubLtd once we have accepted your booking and received your deposit or full payment.
1.2. If you book individual travel services (e.g., flights, accommodation, insurance) with us, we act as an agent for the relevant suppliers, and their own terms and conditions will also apply. You should review the supplier's terms carefully, as they may include provisions related to payment, cancellations, refunds, and other restrictions.
1.3. For package holidays, your contract is with TravelHubLtd, and the terms specific to package travel are outlined in Section 4 of these conditions.
1.4. We reserve the right to refuse any booking at our sole discretion. In the event of a pricing error, we will notify you within 24 hours of your booking, provided your travel has not yet commenced, and offer you the choice to proceed or cancel with a full refund.
2. Booking and Payment
2.1. For online bookings, the contract is formed upon your acceptance of the booking conditions presented at the end of the booking process and your full payment.
2.2. In most cases, full payment is required at the time of booking. In some instances, we may accept a deposit to hold the booking, and we will inform you of the balance due date.
2.3. Payment can be made by credit/debit card, bank transfer, or other methods we may offer. We reserve the right to charge additional fees for certain payment methods to cover any handling costs we or our suppliers incur.
2.4. If paying with a third-party credit card, we will require the cardholder to either call our office to input their PIN or provide written authorization along with proof of their identity (e.g., copy of the card, recent statement).
2.5. All services are subject to availability, and we cannot guarantee the availability of any particular travel product or service.
2.6. We do not charge any surcharge on credit or debit card payments except American Express.
For American Express card payment 2% surcharges is applicable.
2.7 Balance Payment: The remaining balance for all invoices must be cleared at least 15 days prior to the departure date.
2.8 Late Bookings: For bookings made within two weeks of the departure date, the full balance is due immediately. Failure to clear the balance within the specified timeframe will result in automatic cancellation of the booking.
3. Changes and Cancellations
3.1. If you need to change or cancel your booking, fees may apply depending on the supplier's terms and conditions. We will advise you of any applicable charges.
3.2. For flight-only bookings where we have issued the ticket on the same day, our contract with you is considered fulfilled, and you have a direct contract with the airline. Any changes or cancellations will be subject to the airline's policies.
3.3. If we need to cancel or significantly change your travel arrangements, we will offer you the choice of an alternative booking or a full refund.
3.4. Refund requests for unused ticket coupons must be submitted within the ticket’s validity period or no later than one year from the departure date. Once ticket data is purged, refund requests cannot be processed. Any credit issued by the airline or supplier must be utilized within this timeframe.
3.5. We reserve the right to charge an administrative fee of at least £25 for processing changes and cancellations, in addition to any supplier-imposed fees.
4. Package Holidays
4.1. If you book a package holiday with TravelHubLtd, your contract is with us, and the terms in this section apply.
4.2. We do not provide package or holiday recommendations. We offer descriptions of the available accommodations and locations, but you are responsible for selecting the most suitable options for your needs.
4.3. All pre-payable local taxes are included in the package price, but some cities may charge additional local hotel taxes that can only be paid locally.
4.4. Images and information about the properties are provided to give a general impression, but we cannot guarantee their accuracy, as we obtain this data from our suppliers.
4.5. If you wish to amend or cancel your package holiday, we will do our best to accommodate your request, subject to availability and any applicable fees. We strongly recommend that you purchase appropriate travel insurance to cover such situations.
4.6. In the event of major changes to your package holiday by us or our suppliers, we will notify you as soon as possible. You will have the option to accept the new arrangements, book an alternative package, or cancel with a full refund (less a £25 administration fee).
5. Flights
5.1. Flight times and schedules are provisional and may be subject to change by the airline. You are responsible for reconfirming your return journey within 48 hours of departure, as required by some airlines.
5.2. Many airlines now use ticketless systems, so you should ensure you have your flight reference number for check-in. Some low-cost carriers require you to print your boarding pass at home.
5.3. Seat availability and pricing are at the airline's discretion and subject to change. We will contact you if your chosen flight is not available and offer alternatives, which may include changing airlines, routes, or a full refund.
5.4. Airlines may charge additional fees for services such as checked baggage, preferred seating, and in-flight amenities. These charges are not included in the ticket price and must be paid separately.
5.5. If you need to change your flight booking, the airline's terms and conditions will apply, and we may charge an administrative fee in addition to any supplier-imposed fees.
5.6. In the event of schedule changes or flight cancellations by the airline, we will assist you in rebooking or obtaining a refund, but any compensation claims must be directed to the airline.
6. Passports, Visas, and Health Requirements
6.1. It is your responsibility to ensure that you and all members of your party hold valid passports and obtain any necessary visas or other travel documents for your destination and any intermediate stops.
6.2. We cannot be held responsible for any issues or additional costs arising from your failure to comply with passport, visa, or other entry requirements.
6.3. We recommend that you consult your doctor or a travel health professional regarding any health requirements or recommendations for your destination.
7. Travel Insurance
7.1. We strongly advise that you purchase comprehensive travel insurance to cover you for situations that may require you to cancel or change your travel arrangements.
7.2. Travel insurance is not included in the price of your booking, and you are responsible for arranging your own coverage.
8. Complaints and Disputes
8.1. If you have a complaint about your booking or the travel services provided, you should first raise the issue with the relevant supplier (e.g., airline, hotel) while you are on your trip.
8.2. If the matter cannot be resolved with the supplier, you should contact us in writing, and we will do our best to assist you.
8.3. Any disputes arising from your booking will be governed by English law and handled in the English courts.
9. General Provisions
9.1. We reserve the right to change or update these terms and conditions at any time without prior notice. The current version will be displayed on our website.
9.2. These terms and conditions form a contract between you and TravelHubLtd, which is governed by English law.
